How to create a quotation in four steps

  1. Add your details. Your business or name and contact info, so the client knows who the quote is from.
  2. Add the client. Their name, and an email or address if you want them shown.
  3. Price the work. One line per deliverable, with a quantity and a rate. Add a discount or tax if they apply.
  4. Set a valid-until date and download. Add terms such as a deposit, check the preview, then download the PDF and send it.

What a good quotation includes

  • Your name or business name and contact details
  • The client's name
  • A quotation number and today's date
  • A valid-until date, so the price doesn't stay open forever
  • Each deliverable with a clear description, quantity and price
  • The estimated total, including any tax or discount
  • Your terms: deposit, payment schedule and what happens if the scope changes

What is the difference between a quotation and an invoice?

A quotation is a priced offer made before the work. An invoice is a request for payment made after the work, or at an agreed milestone. When a client accepts your quote, you use the same figures to make the invoice.

Is a quotation legally binding?

It depends on where you are and how the quote is worded. In many places a quote that the client accepts can form an agreement. For anything important, ask a local professional. This tool does not give legal advice.

How long should a quote stay valid?

Most freelancers use 14 to 30 days. A valid-until date protects you if your costs or availability change.
