Invoice numbers look like a boring detail, until you have two clients asking about "the invoice from last month" and you cannot tell which one they mean. A sensible numbering system takes a minute to set up and saves you hours of confusion for years.
Why invoice numbers matter
- Clear reference. Both sides can point at the same document in an email or a phone call.
- Clean records. Your accountant, and in some countries the tax authority, expects a traceable sequence.
- Easier chasing. "Invoice INV-0042 is overdue" is quicker to act on than "the one from the website job".
- Professional impression. A tidy number tells the client you run an organised business.
The golden rules
- Every number is unique. Never reuse one, even for an invoice you cancelled.
- Numbers go up. A sequence that increases makes the order of events obvious.
- No unexplained gaps. If you skip a number, you should be able to say why.
- Be consistent. Pick one format and stay with it.
Four common formats
| Format | Example | Good for |
|---|---|---|
| Simple sequence | INV-001, INV-002 | Most freelancers starting out |
| Year prefix | 2026-001, 2026-002 | Restarting the count each year |
| Year and month | 2026-10-003 | High volume, easy to sort |
| Client code | NWC-001 (Northwind Co.) | Many invoices per client |
If you only send a few invoices a month, the simple sequence is plenty. Do not make it complicated just because you can.
Should you start at 001?
Many freelancers start at 1001 or 0100 so the sequence looks established. There is nothing wrong with that, and nothing wrong with starting at 001 either. What matters is that you never repeat a number. Some countries have specific rules about numbering, so check yours.
Separate quotes from invoices
Give quotations their own sequence, such as QUO-001, so you can tell at a glance whether a document is an offer or a request for payment. When a quote is accepted, the invoice that follows gets the next invoice number, and you can mention the quote number on it for reference.
What if you made a mistake?
Do not edit and resend an invoice that the client already has, and do not quietly delete it. Issue a credit note that cancels the wrong invoice, then send a new invoice with the next number and a note: "Replaces INV-0042." This keeps the trail honest and your accountant happy.
Common mistakes
- Reusing a number after deleting an invoice.
- Using random numbers or dates that do not run in order.
- Numbering by client in a way that creates duplicates across clients.
- Changing the format halfway through the year.
